How to use ClinCards for subject fees or paying aftercares

What are ClinCards?

ClinCards are debit cards linked to a petty cash account. We use them to:

• Get cash out for paying participants (our lab debit card)

• Pay aftercare programs (one debit card per program).

For paying participants

If you need to pay a participant, first check whether there is enough cash in the money drawer.

Load ClinCard

If we need more cash, login to https://clincard.com and select Look up subject. The lab debit card number is XX.

Load the card by clicking Request Payment. Select Miscellaneous Payment under Milestone and enter the Amount, specifying number of weeks in the Notes.

Take card to bank

For aftercare programs

Register as subject

Login to https://clincard.com and click Register Subject. Then select our Pattern Learning study from the dropdown menu.

Enter the Name of the person you'll give the card to (usually the director of the program), their Address, and the first of the year (e.g. 01/01/2019) in the DOB field (don't use their "real" DOB).

Assign ClinCard

Once registered, click Assign Clincard and enter the 8-digit token number (found on the outside of the card envelope).

Load ClinCard

To pay them, load money onto the card by clicking Request Payment. Select Miscellaneous Payment under Milestone and enter the Amount, specifying number of weeks in the Notes.

You'll get a success message. After a few minutes, you should be able to refresh your browser and see the money assigned under Card Balance.

Deliver

We hand deliver the assigned card to the director (in it's original envelope) with a separate handwritten thank you note.
